How we use the business contact details of event organizers and venues, and how to make us stop.
Let’s Carpool offers free carpool coordination to people attending the same event. To tell event organizers about it, we sometimes email the person or team listed on an event’s or organization’s own website as the contact for that event.
What we collect. Only business contact details the organization has published for enquiries: a name, job title, work email address or contact form, and the page where we found them. We also record basic public facts about the event (dates, venue, travel information) and our emails with you. We do not buy lists, use data brokers, or collect personal phone numbers, home addresses or anything about your private life.
Why. To offer your event a free carpool option for your participants, and to avoid contacting you more than a few times.
How much we send. At most three short emails about one event. Any reply from you stops the sequence.
Stopping. Reply “no thanks”, or use the unsubscribe link in any email. We stop immediately, and we keep only your email address (and your organization’s name, if you ask us to stop contacting your organization) so that we never contact you again.
How long we keep it. If you don’t engage, we delete your details after two editions of the event, except the minimal record needed to honour an opt-out.
When you use the form at letscarpool.com/for/organizers or /for/venues, you give us your name, work email, role, your organization, and your event’s or venue’s public details (name, dates, address, website, calendar page).
Why. To confirm the request came from you, to create your carpool page, group, link, QR code and private stats page, to send them to you, and to keep in touch about your page: a short note from our team, a thank-you report with totals after your event, and a reminder before next year’s edition. Your consent is recorded when you confirm by email.
What we keep about the request itself. To stop automated abuse, we keep a scrambled code derived from your internet address (not the address itself) for two days. If you never confirm your email, the request is deleted 30 days after the link expires.
Your page. Your event or venue details appear on a public page so attendees can find the carpool. Your name and email never do. Attendees’ identities are never shared with you; you see totals only.
Stopping. Reply to any of our emails or write to techsupport@letscarpool.com to stop hearing from us or to take your page down. We keep only what is needed to honour that request.
